Our client seeks a PA / Office manager to join their growing team:

The vacancy is a newly created position for a permanent PA / Office Manager for our corporate recovery office.

The Bristol office is fairly small (with 1 partner and 7 staff). They now need someone to join the team as PA to the Partner, office manager and marketer/events organiser.

The PA part of the work will be to filter work for the partner, type letters, take responsibility for diary management, client liaison etc.

The office manager part of the role will be to fix any general office problems liaise with facilities, administration, IT, order stationary, keep track of annual leave etc.

The marketing part of the role will be to assist with the coordination of events and help create and maintain a prospective target client list etc.

The role requires someone who has excellent communication skills (by the mature of corporate recovery work they can often have unhappy people calling in, so they need to be able to deal with these kind of situations), candidates need to not get in a flap with things and not be sensitive to these situations. Numeracy skills are essential too, as they will be involved in preparing the monthly bills to send to clients. Candidates need to be prepared to muck in with basically everything!

It’s essential candidates have PA experience.

The salary level for the role is up to £24,000

The purpose of the role is to:

• Provide PA support to the partner
• Provide efficient and effective office management for the office
• Provide marketing support for the office

The main responsibilities of the role will include (but not be limited to):

PA

• First point of contact for the Partner - responsible for general PA / administrative tasks such as audio and copy typing of documents / correspondence, diary management, processing expense claims and mobile phone bills, plus limited photocopying, scanning and filing as necessary
• Maintain critical Office files (e.g. Licence Renewal, Professional Insurance etc) and liaise with MS in London as necessary

Office Management

• Daily opening of post, distribution and control of outgoing correspondence procedures
• Liaise with MS London on postal matters and other support functions (Administration, Facilities, HR, IT, Marketing, Finance etc) as the need arise

Marketing

• Ensure the database/ client lists are up-to-date at all times – arrange monthly meetings with Partner for this purpose
• Responsible for arranging events, including research venues, sending invitations to clients and contacts and chasing for replies, booking rooms, ordering catering
• Regular liaison with the London Marketing department to discuss marketing literature and corporate events as it effects the local office


To be considered for the role you will be able to demonstrate:

• Proven PA / secretarial experience - Corporate recovery environment is desirable, but not essential
• Excellent communication skills (verbal and written)
• Results oriented with excellent interpersonal skills to deal with internal and external clients in a professional manner
• Excellent organisational, time management and presentation skills
• Self-motivated, able to pick up technical aspects of corporate recovery and apply relevant skills to new scenarios
• Strong IT skills in order to use relevant, in-house systems and learn new systems quickly, as required and be competent at using MS PowerPoint, Word, Excel and Outlook
• Ability to work flexibly, and work under pressure with accuracy and focus
• Accurate and precise audio and copy typing skills required
