Background:
Our client is the largest engineering consultancy in the UK, the largest multi-disciplinary consultancy in Europe and the seventh largest design firm in the world. It is a FTSE 250 Company with a turnover of approx £1.4bn. It employs approximately 16,000 employees globally, of which 9,500 are UK based.
They are now looking for a Pensions Administration Manager to be based at our offices in Epsom for a 6 month full time Fixed Term Contract.
Key areas of responsibilities include:
- To be responsible for the administration of the organisation’s pension schemes. You will ensure all calculations are in accordance with the relevant trust deed and rules and current legislation, whilst ensuring understanding of the schemes to members, prospective members, HR and payroll departments.
- Ensuring that service level agreements are met.
- To manage, motivate and develop the pensions administration team, ensuring that:
they have a clear understanding of their roles and responsibility;
annual appraisals are carried out;
resource levels are appropriate to deliver the services required by the trustees and Company; and
Performance is monitored and feedback regularly given.
- Responsible for the pensioner payroll, ensuring monthly contributions are reconciled and submitted, PAYE submitted and end of year processing is completed and submissions are made.
- To ensure the Accounting For Tax returns are submitted on a quarterly basis before each deadline
- Continue to develop internal controls which ensure that risks are identified and ensure the administration team implement the controls effectively.
- Monitor the accuracy of the team’s work using an auditable checking process.
- Ensure employee and company contributions are processed accurately, securely, and on a timely basis in accordance with instructions, scheme rules and Group policy and are accounted for correctly.
- Produce quarterly administration reports which highlights the key administration issues and changes in membership numbers.
- Regularly review and improve membership communication such as internal intranet sites, scheme booklets, forms and standard letters ensuring they are up to date reflecting current policy and compliant with legislation.
- Take full responsibility for the preparing:
annual processes of scheme returns;
benefit statements; and
pension increases.
- To support the business by managing all the pension implications of specific acquisitions, disposals, and transfers of pension members to and from the client.
Requirements:
The Pensions Administrator Manager will demonstrate:
- Experience in dealing with all aspects of pension administration at a senior level, with strong supervision skills for both defined benefit and defined contribution schemes.
- Up to date knowledge of pensions legislation and impact on pension calculations and practices
- Awareness of internal checks and controls that are necessary to ensure compliance with pensions legislation
- Recognition of complex cases and when these need to be escalated
- The ability to work collaboratively, working closely with the Trustee, Company Secretariat, HR and Payroll
- Customer focus with a drive to deliver
- An ability to work under pressure to strict deadlines with limited supervision
- Confidentiality and the ability to handle sensitive situations
- Excellent communication skills, both written and verbal
- Good organisational skills and ability to balance conflicting priorities
- Able to use own initiative and prioritise
- Flexible attitude to work
Qualifications/Experience
- A professional pensions qualification would be preferable
- Experience of supervising/managing others (line management)
- Strong computer skills across the full range of Microsoft Office applications together with Pension specific databases and accounting packages
